NOVA MEDIA MANAGEMENT POLICIES

We encourage all clients to review the following policies before booking.
These guidelines summarize the core terms of our Social Media Management Agreement to ensure transparency and clarity for every partnership.

Consultation & Deposits

  • A $100 consultation fee is required to reserve your session.

  • If you begin a package with us within 7 days of the consultation, the full $100 is credited toward your first month’s payment.

  • If no package is initiated within 7 days, the consultation fee is non-refundable.

Consultation & Deposit

  • Billing Model: Monthly retainer, billed in advance for the upcoming month.

  • Invoice Date: 25th of each month (for the next service month).

  • Due Date: 1st of the month by 11:59 PM EST.

  • Grace Period: Payment made by the 1st is considered on time.

  • Late Fees: 10% applied on the 2nd of the month.

  • Additional Fees: 5% daily late fee for each additional day until paid.

  • Service Pause: Work will not begin until full payment (including any late fees) is received.

  • Termination: Late fees shall not exceed thirty percent (30%). If accrued fees reach or exceed this threshold, this Agreement may be automatically terminated for non-payment, and Client remains responsible for the full remaining balance under the active contract term.

  • Interest: Unpaid balances outstanding beyond thirty (30) days may also accrue interest at the maximum rate permitted by Florida law until paid in full.

Payment Terms

  • Billing Model: Monthly retainer, billed in advance for the upcoming month.

  • Invoice Date: 1st of each month.

  • Due Date: 1st of each month.

  • Grace Period: Until the 2nd.

  • Late Fees: 10% applied on the 3rd.

  • Service Pause: Accounts are paused on the 4th if payment is not received.

  • Termination: Non-payment beyond 14 days leads to termination of services.

  • Reactivation Fee: 10% of the monthly package price, due before services resume.

  • Autopay: Highly recommended to avoid late fees or pauses.

Cancellations, Terms & Refunds

  • All packages begin with a 3-month onboarding and strategy trial, followed by 6-month renewable terms.

  • Early termination or cancellation within an active term is not refundable and the remaining balance for the term remains due.

  • Clients may upgrade at any time with 15-day notice.

  • Downgrades can only occur at the end of a 6-month term with 60-day written notice before renewal.

Platforms Supported

  • Nova Media currently manages:
    Instagram, Facebook, TikTok, Pinterest, and YouTube Shorts.
    Other platforms are not currently offered under any plan.

CLIENT RESPONSIBILITIES

  • Clients must provide all photos, videos, and brand assets needed for content creation.

  • Nova Media Management does not film or capture raw content on-site.

  • Timely delivery of content is required to avoid scheduling delays.

  • Client must review and approve content within 48 hours of submission.

  • Each package includes a set number of revision rounds per piece of content:

  • Starter: 1 round

  • Growth: 2 rounds

  • Premium: 3 rounds

Service Scope & Add-Ons

  • Base packages include one social platform.

  • Additional platforms may be added for $250 per platform / month (minimum 3-month commitment).

  • Add-ons such as extra static posts, carousel posts, short-form videos, engagement days, or stories are available at listed rates and applied monthly.

  • Add-on changes must be submitted 15 days before the next billing cycle.

Working Hours & Communication

  • Office Hours: Monday – Friday, 11:00 AM – 5:00 PM EST.
    Messages received outside these hours will be answered on the next business day.

  • Slack — Daily Communication:
    All general communication, questions, updates, and coordination between Client and Manager will occur via Slack.
    This is the official and primary platform for day-to-day communication.
    Messages sent through personal DMs, texts, or social platforms will not be addressed.

  • Email — Formal Notices Only:
    Email is reserved strictly for formal communication, including package upgrades or downgrades, add-on adjustments, cancellations, or other contractual updates requiring written acknowledgment.

  • Notion — Content Review & Approvals:
    Clients will review, approve, or request revisions to planned content through their designated Notion Hub.
    The Notion Hub also serves as the official record for deliverables, approvals, and monthly progress tracking.

Ownership & Portfolio Use

  • All deliverables remain Nova Media Management’s property until full payment is received.

  • Once paid, ownership transfers to the client for use on their owned platforms.

  • Nova Media retains the right to feature completed work in its portfolio, website, or promotional materials.
